pinehaven planning board

The covenants established a board consisting of seven property owners to represent the property owners who adopted the covenants. Each director serves for four years and is elected at the annual meeting of all property owners in July. Directors may be re-elected by a vote of 75% of those attending the annual meeting. If a director is unable to complete his or her term, the board is authorized to designate a replacement director who will complete the term. One director will serve a two-year term as chairman; he or she becomes the point of contact for outside agencies and a spokesperson for the community. Also elected are secretary and treasurer positions.

BOARD MEMBER RESPONSIBILITIES
​Chairman (Mayor): Sets meeting agendas; signs official Board correspondence and contracts; approves payments of bills greater than $100; serves as point of contact with local, state and federal officials and legal counsel; coordinates Planning Board budget and communications; chairs annual meeting.
Secretary: Maintains current database records on landowners, including payment histories; responsible for official mailings and official votes of the owners; keeps minutes of Planning board meetings and organizes subdivision files to include tax records, minutes, correspondence, building plans, maps and official complaints, including their resolution.
Treasurer: Maintains necessary accounts for general administration and special activities of the subdivision including the general fund, snowplow fund and legal fund; handles mail pick-up, processes receipts and oversees distribution for the board; pays bills, makes deposits and prepares necessary financial reports; arranges for the annual independent audit as required by the board.
Building Administrator: Receives and coordinates review of submitted building plans among board members; verifies setback and other building requirements per the Pinehaven covenants; communicates with appropriate agency officials regarding building permit, septic tank location or utility easements; provides follow up notification to owners and builders, keeps realtors and county informed.
Compliance Officer: Ensures distribution of updated covenants to local officials and realtors; interprets covenant provisions to those with questions or in violation; investigates complaints and recommends legal or enforcement action when required; coordinates amendments or revisions to covenants as requested.
Roads And Grounds: Supplies information on well drilling or connections to existing wells; ensures the year-round maintenance of subdivision roads (which includes snowplowing), the posting and maintenance of signs, the public dock, Pinehaven commons, parking lots, mailbox area and other common areas.
​Owner Relations: Handles the logistics of the annual meeting (refreshments, nominations, etc.); oversees the preparation and distribution of a newsletter three times a year; makes information materials available to new owners.
